This Privacy Policy explains how McGregor Financial Services LLC ("MFS," "we," "our," or "us") collects, uses, protects, retains, and discloses information when you use our websites, MFS Financial Administration platform, mobile applications, and professional services.

Privacy at MFS

MFS provides accounting, tax, financial administration, and related professional services. Because those services may involve sensitive financial, tax, identity, and business information, we design our systems to limit access, protect sensitive information, maintain records of material activity, and use information for authorized business and professional purposes.

Some information, particularly tax return information, may be subject to additional legal restrictions and consent requirements beyond this general Privacy Policy.

1. Scope

This Privacy Policy applies to information collected through McGregorFinancialServices.com, MFS Financial Administration, related MFS web portals and mobile applications, and information received in connection with services provided by MFS.

This policy does not replace separate engagement agreements, disclosures, tax-information consents, electronic-signature consents, or other notices that may apply to a particular service or transaction. Where another legally required notice or consent applies, that notice or consent may govern the applicable use or disclosure.

2. Information We Collect

The information MFS collects depends on the services you use and the information necessary to provide those services.

Account and Profile Information Name, email address, telephone number, login/account information, communication preferences, business information, and other profile details you provide.
Financial Information Transactions, account balances, account names and types, merchant information, income and expense records, accounting classifications, financial statements, and related financial records.
Tax Information Taxpayer information, tax documents, tax return information, prior returns, estimated tax payments, tax classifications, workpapers, filing-related information, and other information provided for tax preparation, tax planning, or tax administration.
Identity Information Information such as Social Security numbers, taxpayer identification numbers, employer identification numbers, mailing addresses, and other identity information where needed for an authorized service.
Documents and Files Documents you upload or provide, which may include W-2s, 1099s, receipts, invoices, bank statements, tax notices, prior tax returns, spreadsheets, PDFs, contracts, and supporting records.
Business Information Business names, entity types, ownership information, business activities, assets, vehicles, properties, payroll-related information, and records associated with your business operations.

  • when you upload documents, CSV files, XLSX files, or other records;
  • when you connect authorized financial accounts;
  • through transactions and account information made available through connected financial-data providers;
  • from documents and records you authorize MFS to review;
  • from government or tax records when MFS has appropriate authorization and access;
  • from communications with MFS professionals and support personnel;
  • automatically through security, authentication, and application logs; and
  • from service providers acting on our behalf.

4. How We Use Information

MFS may use information to:

  • create and administer your account;
  • provide accounting and financial-administration services;
  • organize, categorize, reconcile, and review transactions;
  • maintain financial records and supporting evidence;
  • provide tax-readiness and tax-preparation services;
  • prepare tax workpapers and professional review materials;
  • identify missing records, inconsistencies, exceptions, or items requiring clarification;
  • prepare information for authorized downstream tax-preparation systems;
  • provide documents, reports, exports, and financial summaries;
  • process subscriptions and payments;
  • provide customer support;
  • authenticate users and protect accounts;
  • detect, investigate, and prevent fraud, misuse, security threats, and unauthorized access;
  • maintain audit and compliance records;
  • comply with applicable legal, tax, regulatory, and professional obligations; and
  • improve MFS systems, workflows, accuracy, and service quality as permitted by applicable law.

5. Tax Return Information

Information provided to MFS in connection with tax return preparation may be subject to special federal restrictions concerning its use and disclosure.

MFS uses tax return information to provide the tax preparation, accounting, tax administration, professional review, and other services you request or authorize.

Certain uses or disclosures of tax return information may require a separate consent or authorization. Where applicable, MFS may present separate Tax Information Permissions or consent requests describing the specific purpose, information, or recipient involved.

Declining an optional consent does not, by itself, authorize MFS to use the information for that purpose. MFS maintains purpose-specific permission records and may restrict a feature or use when required authorization is not available.

This Privacy Policy is not intended to serve as a substitute for any consent specifically required for the disclosure or use of tax return information.

6. Bank and Financial Account Data

MFS Financial Administration may allow you to connect financial accounts through third-party financial-data connectivity services such as Plaid.

When you choose to connect an account, the connection process may allow MFS to receive authorized financial information such as:

  • financial institution name;
  • account name and type;
  • available account information;
  • balances;
  • transaction records;
  • merchant or transaction descriptions; and
  • other information you authorize through the connection.

MFS uses connected financial information to provide features such as transaction organization, accounting, categorization, reconciliation, tax readiness, financial reporting, and other authorized financial administration services.

You may disconnect supported financial connections through available account-management functionality or by contacting MFS.

7. Artificial Intelligence and Automated Processing

MFS may use artificial intelligence, machine-assisted classification, deterministic rules, and other automated technology to support financial-administration workflows.

These systems may assist with activities such as:

  • transaction categorization;
  • document classification;
  • identifying potential inconsistencies or missing information;
  • generating factual clarification questions;
  • organizing financial and tax information;
  • summarizing records for professional review; and
  • prioritizing exceptions for further review.

MFS uses technical and policy controls designed to limit information provided to automated systems to information appropriate for the applicable task.

Sensitive credentials such as passwords, authentication tokens, encryption keys, and multifactor authentication codes are not intended to be provided to AI systems.

Automated recommendations are not treated as authoritative substitutes for controlled accounting calculations, final tax calculations, tax forms, or professional judgment where professional review is required.

8. How We Disclose Information

MFS may disclose information when reasonably necessary to provide authorized services, operate the platform, protect users and MFS, or comply with applicable law.

Service Providers

MFS uses technology and professional service providers that may process information on our behalf. Depending on the services you use, these may include providers supporting:

  • cloud hosting and databases;
  • authentication and secure storage;
  • financial account connectivity;
  • payment processing;
  • communications;
  • document storage;
  • application infrastructure;
  • AI-assisted processing; and
  • professional tax or accounting workflows.

Professional and Tax Services

Information may be made available to authorized MFS personnel, tax professionals, accountants, or other professionals involved in providing services to you, subject to role, access, confidentiality, and applicable legal requirements.

Legal and Security Purposes

We may disclose information when required by applicable law, legal process, regulatory obligation, or where reasonably necessary to investigate or respond to fraud, misuse, security incidents, threats, or violations of applicable agreements.

MFS may receive related information such as payment status, subscription status, transaction references, billing cadence, or limited payment-method details necessary to administer your account.

Depending on the system and information involved, safeguards may include:

MFS retains information for periods reasonably necessary to provide services, maintain financial and tax records, meet professional obligations, resolve disputes, maintain audit history, enforce agreements, and satisfy applicable legal or regulatory requirements.

Different categories of information may be subject to different retention periods. Legal holds, investigations, tax-record requirements, security needs, or professional obligations may require MFS to retain information beyond an ordinary retention period.

When information is no longer required, MFS may delete, anonymize, de-identify, or otherwise dispose of it in accordance with applicable policies and legal requirements.

Depending on your location, relationship with MFS, and applicable law, you may have rights or choices concerning personal information.

MFS may need to verify your identity before completing a privacy request.

13. Account and Data Deletion

You may request closure of your MFS Financial Administration account by using available account settings or contacting MFS.

Account closure does not necessarily require immediate deletion of every record associated with the account. Certain financial, tax, security, audit, authorization, payment, professional, or legal records may need to be retained where permitted or required.

14. Children's Privacy

MFS Financial Administration is intended for adults and businesses and is not designed as a service directed to children.

Information concerning dependents or other minors may nevertheless be provided by a parent, guardian, taxpayer, or authorized representative when necessary for legitimate tax, accounting, or financial-service purposes.

15. International Users and Data Processing

MFS is based in the United States. If you access MFS services from outside the United States, your information may be processed or stored in the United States or other locations where MFS or its service providers operate.

Users outside the United States may be subject to additional local privacy or data-protection rights. Where applicable, MFS will address such rights in accordance with applicable law and the services being provided.

16. Changes to This Privacy Policy

MFS may update this Privacy Policy as our services, technology, legal obligations, or privacy practices evolve.

When we update the policy, we will revise the "Last Updated" date. Where required or appropriate, we may provide additional notice or request acceptance of an updated version.

Historical legal-acceptance records maintained inside MFS systems may identify the specific policy version presented to and accepted by a user.
