Records Cleanup & Tax Readiness
Get your records organized. Understand the next step.
MFS provides accounting cleanup services and catch-up bookkeeping for businesses with overdue, incomplete or inconsistent records. We review the available information, reconcile the agreed accounts and prepare financial records that support reporting and tax preparation.
Start by telling us which periods need attention and what prompted the review. You do not need to diagnose the accounting issues before contacting us.
When your financial records need attention
A bookkeeping backlog can develop during a busy period, a staff change or a software transition. Sometimes the records are current but the balances and reports still raise questions.
MFS begins by understanding the condition of your records and defining the work needed.
Accounting cleanup, catch-up bookkeeping and tax readiness
Accounting cleanup
Reviewing and correcting existing records—for example, duplicate transactions, incorrect classifications or unreconciled balances.
Catch-up bookkeeping
Recording missing activity for agreed historical periods using available statements and supporting documents.
Tax readiness
Organizing the financial information and identifying outstanding questions needed for the tax preparation process.
An engagement may involve both cleanup and catch-up work. MFS assesses the records before confirming the periods, accounts and deliverables covered. Tax readiness does not mean every deduction is approved or every filing requirement has been satisfied.
What our accounting cleanup services can include
The work depends on your records and agreed scope. Relevant tasks may include:
Records and opening balance review
Assess the starting information, prior reports and balances used to begin the cleanup period.
Historical transaction entry
Record missing activity for the agreed periods using available source documents.
Bank and credit-card reconciliation
Compare accounting records with statements and investigate relevant differences.
Classification and duplicate correction
Review transaction categories, transfers, duplicated entries and other identified recording errors.
Owner, financing and related balances
Review relevant contributions, withdrawals, loans and intercompany activity where included in scope.
Reporting and tax preparation handoff
Prepare agreed financial reports and identify questions or documentation still needed for filing.
Prepare the accounting information behind your tax return
Tax preparation depends on more than a total of bank deposits and payments. The preparer may need to understand the nature of transactions, relevant account balances and supporting documents.
Cleanup helps organize that information and identify questions that require further attention before filing.
Organized financial reports
Profit and loss and balance sheet information for the agreed periods, prepared from the available records.
Supporting accounting information
Relevant reconciliations and schedules included in the engagement.
Outstanding questions identified
Missing documents, unexplained activity or other issues requiring client or tax-preparer review.
Accounting cleanup does not automatically include tax return preparation, amended returns or IRS notice responses. Those services are scoped separately where needed.

What you receive from the cleanup engagement
Before work begins, MFS establishes what will be delivered and which periods and accounts are included. Where available records cannot support a complete reconstruction, remaining gaps are explained rather than presented as fully complete.
- Updated accounting records for the agreed periods.
- Reconciliations for the agreed accounts.
- Profit and loss and balance sheet reports where included.
- Relevant supporting schedules.
- A summary of unresolved questions or missing information.
- A handoff to the agreed tax preparer or ongoing accounting workflow.
A clear process for bringing your records current
Substantive cleanup work begins after the engagement is agreed. Timing depends on the records, the agreed scope and timely access to the required information.
- Discuss the situation
Identify the business, affected periods, current software and reason for the cleanup.
- Review records and define scope
Assess available information and agree on the accounts, responsibilities, deliverables, fees and anticipated timing.
- Reconcile and correct
Complete the agreed accounting work and resolve questions with the client.
- Prepare reports and handoff
Deliver the agreed records and reports, explain remaining issues and discuss the next step.
What to have available
For the initial conversation
- The approximate periods requiring attention.
- Your accounting software, if any.
- An estimate of the accounts and entities involved.
- Any filing, reporting or handoff deadline.
After engagement, records may include
- Bank and credit-card statements.
- Existing accounting files or access.
- Sales, invoice and payment records.
- Receipts and expense documentation.
- Relevant payroll, loan and owner-activity records.
- Prior financial reports, tax returns and accountant adjustments.
You do not need every document organized before making an initial inquiry. We will explain which records are required for the agreed work.
Use the existing Client Portal for records requested after the engagement is underway. Do not send login passwords through the public contact form.
What determines cleanup scope, cost and timing?
Two businesses with the same number of overdue months can require very different work. MFS reviews the condition and complexity of the records before establishing the engagement.
- Number of periods.
- Number of accounts and entities.
- Transaction volume and complexity.
- Missing documentation.
- Quality of existing records.
- Payroll, inventory or intercompany issues where applicable.
- Client clarification and access requirements.
- Reporting and handoff needs.
If you have an upcoming filing, reporting or handoff deadline, mention it during the initial conversation. MFS does not guarantee that every deadline can be met.
Keep the records current after cleanup
Once the agreed historical work is complete, ongoing accounting support can help establish a regular bookkeeping, reconciliation and reporting routine.
Ongoing Business Accounting and Financial Reporting Services
Ongoing support is optional. It is not a mandatory subscription or an automatic part of cleanup.
