Why Yacht Payroll Requires Specialized Review

Vessel flag or worker citizenship alone does not determine every FICA, FUTA, federal-withholding or state obligation. MFS reviews the legal employer identity, vessel flag and registration, worker status and tax documentation, services inside and outside U.S. territory, rotational schedules, state connections, midyear changes, bonuses, supplemental wages, reimbursements, Social Security wage-base continuity, terminations, final pay, prior filings and year-to-date records.

Services That May Be Included

Depending on the agreed scope, MFS may support employer and employee onboarding, federal and included state registrations, payroll calculations, federal tax-deposit administration, Form 941, included state withholding and unemployment returns, payroll journals, quarterly reconciliations, Forms W-2 and W-3, year-to-date wage continuity, notice support, termination calculations and midyear provider transitions.

Funding is not the service fee. The MFS service fee is separate from gross wages, employee withholding, employer payroll taxes, payroll-tax funding, bank charges, third-party expenses and historical correction fees. The approved operating model identifies who funds and pays net wages.

Connected private operations

Foreign Vessels, Aircraft and Private Staff

A foreign flag does not by itself resolve every U.S. payroll question. Employer identity, work location, services performed outside the United States and supporting documents must be reviewed. MFS can also coordinate a yacht owner’s process with private aviation crew payroll and family office and private staff payroll without combining employees or employers that should remain separate.

During a provider change, incorrect beginning balances, duplicated or omitted wages, Social Security wage-base errors, prior-provider discrepancies, W-2 continuity issues and mismatched deposits and returns may require the separately scoped payroll correction and reconstruction service.

Service structure

Managed Payroll Pricing

MFS’s specialized managed-payroll service, backed by CrewPay, is priced at 2% of gross W-2 payroll. Minimum service requirements, implementation, registrations, banking costs, historical corrections and extraordinary compliance work may be priced separately.

For illustration only, $100,000 of gross W-2 payroll would correspond to a $2,000 MFS service fee under that formula. This is not a quote. The fee is not gross wages, employee withholding, employer payroll taxes or payroll-tax funding; those amounts remain separate. Correction engagements are not included in this 2% fee.

McGregor Financial Services leads the client relationship, payroll coordination and tax-compliance process. CrewPay supports specialized payroll calculations, reporting controls and employer-compliance workflows. CrewPay is not a separate lead-capture path for this service; your consultation and engagement remain with MFS.

The applicable proposal and engagement letter will identify the contracting entity, covered payroll services and each party’s responsibilities. MFS is not automatically the legal employer, employer of record, co-employer, PEO, crew-management company, workers’ compensation provider, immigration advisor, law firm or global paymaster.

Yacht Crew Payroll FAQs

Can MFS work with a foreign yacht employer?
MFS may work with a foreign vessel employer after reviewing the employing entity, worker facts, work locations, service periods, documents and intended operating model. A foreign employer does not automatically create the same U.S. obligations in every case.
Does a foreign vessel flag eliminate U.S. payroll obligations?
No conclusion should be drawn from the flag alone. Employer identity, where services are performed, worker documentation, prior wages and federal and state connections can affect the review.
Can the yacht manager continue paying net crew wages?
That may be possible under an agreed operating model. MFS can prepare reports and funding requirements while the employer or manager pays net wages, but the proposal will identify approvals, funding and payment responsibilities.
Can MFS handle only the U.S.-connected crewmembers?
A limited population may fit the engagement. MFS will review the employer structure and the records needed to preserve year-to-date and reporting continuity before defining the scope.
How is the 2% service fee calculated?
For continuing managed payroll, the approved formula is 2% of gross W-2 payroll. Wages, withholding, employer taxes, funding, bank charges, third-party expenses and correction work are separate, and the formula is not a guaranteed quote.
Does MFS provide maritime employment or immigration legal advice?
No. MFS does not automatically provide maritime employment or immigration legal advice, and outside counsel may be appropriate for questions outside the agreed payroll and tax-compliance scope.
How are crew working inside and outside the United States reviewed?
MFS reviews actual work locations, service periods, employer identity, vessel operations, worker documentation and federal and state connections. No single fact determines every payroll-tax result.
What happens during a midyear payroll transition?
MFS reviews prior registers, beginning balances, year-to-date wages and taxes, deposit histories and filed returns before establishing reliable opening records for continuing payroll.
Can MFS correct errors from a former payroll provider?
Potentially. Former-provider discrepancies are separately scoped as correction work after MFS reviews the affected periods, filings, deposits, wage records and available support.
What records are needed to establish yacht payroll?
Records may include entity and EIN documents, vessel registration, crew agreements, worker tax forms, work-location details, prior registers, year-to-date totals, returns and deposit histories.
